Sprint

She asked three practices. One of them answered.

Most inquiries don't choose the best practice. They choose the one that replied while they were still thinking about it. In two to three weeks I set up fast, on-brand replies to your web forms and missed calls, each carrying a time she can actually book — and a log that finally shows which channel produces visits.

What this fixes

This is you if

  • An inquiry that arrives at 7pm on a Thursday waits until someone opens the inbox.
  • Missed calls go to voicemail, and voicemail goes nowhere.
  • Replies depend on who's free, so some inquiries get a great answer and some get nothing.
  • You spend money on marketing but can't say which channel actually produced booked visits.

This isn't the one if

  • You already reply within minutes, with a booking link, including evenings.
  • Your problem is the consult that came in and didn't book. That's a different piece of work, and I'd rather talk than sell.
  • Your problem is patients who came once and never returned. That's Rebooking & Recall.
  • You want a robot to handle clinical questions. It won't, by design.

What works the day it's finished

Not a plan. The state your practice is in when I hand it over.

A web form gets a real answer in minutes, around the clock

Built from answers you wrote and approved, not invented on the spot. It addresses what she asked and ends with a time she can take.

A missed call texts back on its own

The call she gave up on becomes a text conversation within a minute. This is usually the largest single recovery in the install, and it's the reason the phone question below matters.

Booking takes two taps, not a form that promises a call back

Configuring your booking path so a consult is genuinely bookable is part of the work. On every system I've looked at, this is settings rather than software.

Anything medical stops at a human

A message mentioning a medication, a condition or a complication gets a holding reply and a flag for your staff. It never gets an automatic answer, whatever it asks.

Every inquiry is logged, so you can see the funnel

Source, time received, time replied, what it was about, and whether it booked. A weekly digest puts your median response time and booked rate in front of you.

Demonstration

An inquiry at 7:41 on a Thursday evening

Sample data, invented for this page — not a real patient and not a client's practice. The sequence and the timings are what the install actually does.

For the first two weeks every reply is drafted and a person taps send, so you see exactly what goes out before it becomes automatic. Anything mentioning a medication or a complication never becomes automatic.

What this doesn't do

Everyone selling this promises every channel in under five minutes. Here's where that's true and where it isn't, so you can hold me to the right thing.

Direct messages are the weak channel, for everyone

Where your social accounts allow proper access, DMs are handled like any other inquiry. Where they don't — which is common — they become a daily sweep with replies drafted for a person to send. That's honest, and it isn't five minutes.

Nothing answers your phone

A missed call gets an immediate text. There's no AI voice picking up, and I'm not selling you one until I've seen two of these work.

For the first two weeks, a person sends every reply

Drafted instantly, sent by your staff. Once you've read a batch and approve of what it sounds like, the clearest cases graduate to sending on their own. The rest keep the human gate permanently.

Texts respect quiet hours

No SMS between 8pm and 9am. A late-night inquiry gets an honest note that you're closed and she's first in the morning, which beats a text at 11pm that reads as desperate.

If it can't be fast and good, it will be good

A quick wrong answer costs more than a slower right one. Where the two conflict, the reply waits for a person.

What I actually do

Three weeks, and one hour of your knowledge.

Week 0 — the baseline

Two weeks of your existing inquiries, however they're recorded: how many, how fast they were answered, how many booked. Plus a check that your texting consent is captured properly at booking. This is the "before", and it can't be reconstructed later.

Week 1 — your words, then the plumbing

An hour with you on the twenty questions you get most, and what you will and won't answer by message. Then the form connection, the missed-call text-back, and your booking path cut down to two taps.

Week 2 — live, with a person on the send button

Real inquiries, real replies, every one read by staff before it goes. We fix the tone together during this week — if it sounds like software, it gets rewritten.

Week 3 — graduate what's earned it

You review a sample of what went out. The clearest intents start sending automatically; anything sensitive stays with a human. Weekly digest switched on.

Day 60 — the measurement

Median time to first response and the share of inquiries that became booked visits, before and after, written up and sent to you.

What I need from you

This one asks more of you than the others. It's worth knowing that up front.

01

An hour of your knowledge

The replies are assembled from your answers. Without them it either sounds generic or says something you'd never say.

02

Your phone line routed through a new number

It rings exactly as it does now. The difference is that a missed call can text back. Without this, the biggest half of the install doesn't exist.

03

Two weeks of someone tapping send

A few minutes a day. It's how the thing learns your voice and how you learn to trust it.

04

Access to your booking system, and to social accounts if you want DMs covered

Whatever you already run. I don't replace your systems.

Price, and where it stops

$2,500 $3,500

Founding price · first three practices

In exchange, your 60-day report is published anonymously as a case study, and we spend half an hour on what worked. After three, it's $3,500.

Fixed price. One location, one phone line.

  • 1 location, 1 phone line, and up to 3 channels: web form, missed call, 1 social account
  • Up to 20 answers written up with you, covering up to 5 kinds of inquiry
  • 1 booking path configured down to 2 taps
  • 2 weeks of supervised sending, then graduation of what's earned it
  • 1 inquiry log and 1 weekly digest
  • 1 report at day 60, written and sent

Not included

  • AI answering your phone. Not in this install, at any price.
  • Guaranteed DM automation — it depends on access your platforms may not give.
  • Texting and phone-number costs, which are a few dollars a month and yours.
  • Writing your marketing, or deciding what you charge.

If you've bought a Found Money Audit in the last 60 days, your $497 comes off this.

What I promise, and what I don't

I promise the measurement: median time to first response, and the share of inquiries that become booked visits, measured before we start and again 60 days after it's live, and reported to you whichever way they moved. I don't promise a dollar figure. How far a number moves depends on your patients, your prices and how the routine is held day to day — and I'd rather show you a real result than guarantee an invented one.

See a sample 60-day report → — invented numbers, real format, including the section on what didn't move.

Is it a fit?

Four questions. Two of them decide whether the biggest half of this install is even possible in your practice.

What do you book with?

When someone messages or calls outside opening hours, what happens first?

Missed calls are the biggest single source of lost inquiries. Would you route your practice line through a new number so a missed call can text back?

Who can spend an hour writing the answers to your twenty most common questions?

Not sure this is the right place to start? The free diagnostic takes 90 seconds, or the Found Money Audit goes through your own numbers with you and says which of these is worth doing first.
